Before FMX

San Jacinto Unified School District (SJUSD) serves over 10,000 students across 15 Riverside County, California schools.

The district incorporated facilities management software to aid its teams, better serve its students, and manage its sprawling campus.

Their previous system proved ineffective and inefficient, not saving their teams the time they thought. Additionally, the outdated software was costly and not friendly for their technicians. Getting support, reporting issues, or receiving software updates proved difficult.

Also among the challenges was its inability to aid in California’s mandated FIT Inspections. The software’s lack of functionality required staff to complete inspections by hand and submit subsequent work orders manually. This led to delays, tight timelines, missed repairs, and limited follow-up visibility.

From here, they would return notes that Gabby would input manually to create thousands of work orders. The arduous process would take over a month to complete.

Leaders knew they needed a modernized solution to reduce labor and administrative burdens. As a result, SJUSD contacted FMX to streamline operations and improve service delivery.

Results

Since switching to FMX, SJUSD has uncovered efficiencies across its facilities department. They’ve saved time and labor costs and decreased headaches for their field technicians and administrative staff.

“We are combining so many aspects of our day-to-day into FMX,” said Director of Facilities and Operations Korey Lawson. “It’s made us 15 to 20% more efficient.”

FMX’s comprehensive features and configurability increased efficiency. The facilities team can now create custom workflows for requests and projects.

This flexibility allowed the district to tailor the system to their specific needs, leading to better tracking and management of projects, from minor site improvements to larger capital ventures.

They also now leverage the system for IT department requests, eliminating communication silos. This allowed for smoother transitions between technology tickets and maintenance work orders, improving overall efficiency for the district. The centralized system boosted productivity and created alignment across SJUSD. With fewer maintenance delays and improved service coordination, students and teachers enjoy safer, better-maintained learning environments.

“One of the main benefits is that now we all have the system with the same technology,” said Facilities and Operations Administrative Secretary Lorena Sanchez. “It’s been big for us.”

Moreover, the facilities department has increased its reporting capabilities through FMX. Lawson and his team compile weekly reports summarizing key metrics, like work orders received and completed. They then submit this data to the superintendent and ultimately the Board of Education. This newfound reporting cadence ensures facilities’ transparency and accountability from the bottom up.

Before making the switch, some staff were apprehensive about changing their workflows to a new solution despite the difficulties with their old platform.

“Change is always difficult for a maintenance staff,” noted Korey. “But after initial pushback, our guys have really learned to use FMX. It’s much more user-friendly for them, and they’re in it for everything now.”

Part of the reason for the adoption and comfort of technicians has been FMX’s customer support. Their responsiveness and close collaboration with the San Jacinto team minimized friction during the implementation process and ensured success.

From onboarding to rollout, the process took two months, which included transferring legacy information. “We had a lot of historical data that we had to roll over,” said Lorena. “But even still, we had everything up and running when we said we would. Implementation went very well.”

Now that SJUSD is up and running, the team intends to continue using FMX to refine its FIT Inspection process and improve efficiency further.
